• Presence needed for: Onsite registration (most registration is done before the conference by headquarters but there might be some walk ins); be onsite to ensure all the catering and av needs are met and if there is anything onsite that needs to happen that would be responsibility of the onsite meeting planner.
• Christmas party at our office, will require tables, chairs, decorations, linens, tableware, catering and bartender.
• Planning a national distributor meeting in Las Vegas. Will have approximately 140 guests in our business meetings held on the mornings of Monday Nov 9th and Nov 10th. Expcect golf afternoon of Nov 8th or 9th. Perhaps a local show or some other event on the evening of Nov 9th or 10th. Expect approximately 60-80 spouses/guests to increase the total size of our group which will affect catering. Rooms expected for check in on Sunday and out on Wednesday (approx 140 rooms for 3 nights). Flights will need to be arranged for approximately 50 guests throughout the United States. Looking for an events planning to make arrangement and to provide options, idea's and estimation of budget to set up hotel rooms, meeting rooms, golf, evening activity, catering, some flights, transportation involving airport/hotel/golf, etc.
• Responsible for development,planning,management of Disaster Readiness conference and disaster exercise including: curriculum development-diaster readiness, terrorist attacks, disease outbreaks Presenter recruitment-local, national, international Participant recruitment (national) Particpant registration Security Exhibitors/vendors/fund raising/ media relations/photo video archives/logistics/fiscal accountability/transportation plan/communication/conference program design and production/incorporation of bi-lingual/special needs population workshops/hotel and catering logistics/develop policy/procedures manual for conference/exercise implementation Conduct planning meetings with stakeholders: Governors office-Cal Vol, OES,RCPI,Office homeland security.
• We are making film about two boys in Japanese American internment camp in Manzanar during WWII. So we will need to shoot some part actually in Manzanar area. Basicaly we are looking for catering services which can take care of 25 people for 4 days and hotels or motels also can take care of 25 people. Besides ,we would like to find out brief quote of it.
• Move dental chair (that we have) to and from hotel site and back to office. Creating the mailing list of doctors to attend Addressing the envelopes Mailing Tracking Responses Getting the numbers to the catering head at hotel Being Liason for talent and 5 speakers Coordianting the setting up of products to show where the breakfast room will be.
• Website management catering- 2 offsite dinners we are negotiating the venue but might be nice to have AV/ catering costs for taking details over after venue negotiated.
